Submission of the Final (Camera-ready) version of the Accepted Papers

The Final (camera-ready) versions of the accepted papers should be submitted before September 20th, 2019 and based on the instructions below.

The final version of the papers should be 4 to 6 pages long, in English and using the Conference Template. Only a PDF file must be submitted, which must have been generated by the IEEE PDF eXpress site.

As the accepted and presented papers will be submitted to the IEEE Xplore digital library, the appropriate copyright clearance code notice should appear at the bottom of the left column of the first page of a paper.

• For papers in which ALL authors are employed by the US government, the copyright notice is:
U.S. Government work not protected by U.S. copyright

• For papers in which ALL authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:

• For papers in which ALL authors are employed by the European Union, the copyright notice is:
978-1-7281-2658-6/19/$31.00 ©2019 European Union

• For ALL OTHER papers, the copyright notice is:

Please follow the following steps for the PDF file creation and submission:

1- Click on IEEE PDF eXpress®
2- If you have already an account in IEEE PDF eXpress, insert your username/password. If not, create one by clicking on "New Users - Click here".
3- Use "47639xp" for the Conference ID on the log in page.
4- After loging in, click on "Create New Title". Then copy and paste the title of the paper and upload the word file of your paper.
5- At this stage, IEEE PDF eXpress will automatically create a PDF file which is compatiable with the IEEE Xplore requirements. This may take several minutes.
6- Click on "Refresh File Status" after several minutes.
7- If the PDF file is created, the Status will be shown as "File(s) Converted--PDF available".
8- Click on the title of your paper. The created PDF file will open. Save this file without chaninging its automatic name. This file should now be uploaded via the EDAS Submission Portal.
9- You must also click on "Approve for Collection". This is essential as it will submit the automatically created PDF file to us via the IEEE PDF eXpress site.
10- If you have more than one accepted paper, repeat steps 4 to 9 above for each paper.

Very Important: The generated PDF file of the Final (camera-ready) version of the accepted papers must be sent to the conference through BOTH methods given in points 8 and 9 above.

Submission of the Copyright Form to IEEE

To publish a paper in the IEEE Xplore Digital Library, the authors need to transfer the copyright of their paper to IEEE. An Electronic Function has been set up in the EDAS Submission Portal for this purpose.

Very Important: The authors need to submit the copyright forms before submitting the Final version of their papers. The authors need to make sure that the paper's tilte and the authors' names, affiliations and orders are identical on the Final version of the paper, EDAS and the Copyright Form.

To submit the copyright form, please follow the below steps:

1- Log in to the EDAS Submission Portal.
2- Navigate to the page of the accepted paper.
3- Click on the icon next to "Copyright form".
4- In the new page, click on "IEEE Copyright Submission".
5- This will direct you to an IEEE site. Follow the steps and submit the form.
6- If you have more than one accepted paper, repeat steps 2 to 5 above for each paper.

Publication Policy

After the Conference, the Publication Chair will submit the accepted and presented papers to the IEEE Xplore Digital Library. This is subject to:

1- All correct publication materials (including upload of final paper and transfer of copyright to IEEE) have been conducted.
2- The title of the paper is the same on EDAS, Final (camera-ready) version of the paper, and the copyright form.
3- The names, affiliations and emails of the authors and their order is the same on EDAS, Final (camera-ready) version of the paper, and the copyright form.
4- The correct copyright notice has been given at the bottom of the first page of the Final (camera-ready) version of the paper, based on the Instructions above.
5- Proper registration has been paid in full to the confernece. At least one author of an accepted paper must pay the registration associated with the paper ID.
6- The paper must have been presented at the conference. Ideally, one of the authors should register and attend the conference, and present the paper. If none of the authors can attend, the paper can also be presented by a qualified colleague, who is familiar with the technical field, and is capable of discussing the issues. This would fulfill paper presentation obligation.

Very Important: Only the authors of a paper can register it. Thus, registration fee must be paid by an author of a paper even if the qualified colleague, who will be presenting the paper on behalf of the authors, is an author of another (different) paper in the conference.

Very Important: Papers that do not meet one of the requirements in point 1 to 5 above will not be submitted to the IEEE Xplore Digital Library. No registration fee will be refunded in case of no show. Also, no registration fee will be refunded if the Conference does not submit the accepted paper to the IEEE Xplore Digital Library when the authors fail to fulfill all of the above requirements.
